The Report Card Scanner checks every teacher's comment against your school's reporting standards before a single report reaches a parent. Fully automated, saving tens of admin hours every reporting juncture.
The standard for reporting in most schools is clear. What is less clear is how a school leader is supposed to uphold that standard across dozens of teachers, thousands of comments, and a hard deadline.
The honest reality is that manual review at scale, under deadline pressure, produces inconsistent results. Not because school leaders aren't thorough, but because the volume and the timeline make thoroughness almost impossible.
The Report Card Scanner replaces that process with one that's systematic, consistent, and significantly faster. It is calibrated to your school's own guidelines, and the conditions are set by your school leaders. Anything that you would typically flag or look out for will be identified and flagged for you.
We configure the scanner against your school's own reporting guidelines and exemplar comments. It flags what you would flag and provides the summary.
The tool is built and launched within your school's existing Microsoft 365 environment. Your school owns it outright from day one. No new licences, no new permissions, no data leaving your environment.
No new login, no new system. Teachers submit comments exactly as they always have. Nothing about their process changes.
Once teacher submissions close, administrators consolidate comments into an Excel file, PDF, or whatever format your school typically uses to do the review. Nothing changes in this step.
The scanner processes the compiled comments against your school's defined specifications. Flagging tone, structure, length, misalignment with results, or anything else your leadership has set as the standard. Everything runs within your Microsoft environment. Nothing leaves it.
What once took administrators hours of manual reading — repeated multiple times per year — is handled automatically, to a higher standard, leaving time for work that actually moves student outcomes.
No comment goes home without being checked. Every submission passes through the scanner before reports are released.
The scanner is calibrated to your reporting policy and your definition of a gold-standard comment — not a generic algorithm's interpretation.
The same standard applied to every teacher, every department, every year. Inconsistency becomes visible and addressable before it becomes a problem.
Administrators see a single prioritised view of every comment that needs attention, with a specific reason for each flag. No hunting through spreadsheets.
Full deployment, calibration to your standard, and a staff walkthrough — all done within 48 hours of agreement. We handle everything.
Teachers submit comments the same way they always have. Administrators export them into Excel or PDF as usual. The scanner processes that output. No new workflows, no retraining.
Built on Power Apps and Power Automate — products your school already has. No new software to install, no new licences to purchase, no data leaving your environment.
One-time deployment. No subscription, no renewal, no vendor dependency. Once it's set up in your Microsoft environment, it's yours.
Aquilo Labs is onboarding three schools before the end of the current school year. There is capacity for no more than that.
Schools in this cohort receive the software at a reduced rate that will not be available to future clients. You keep it permanently, regardless of what the price becomes.
Once these three spots are filled, the next available onboarding window is the start of the 2026/27 school year.
The Report Card Scanner was developed in direct conversation with administrators at a secondary school in a Greater Vancouver school district — starting with a straightforward question: what does reviewing report card comments actually involve?
The time commitment was the first thing to stand out. One administrator described spending the better part of two days over a single weekend reviewing their share of comments, and that was only a third of the school's students.
Those conversations shaped everything. It is straightforward enough to have software scan for spelling, grammar, word count, and the correct name and pronoun, but these conversations allowed the scanner to be calibrated to the more subjective judgements a school administrator has to make: tone, structure, professionalism, and alignment with results.
The result is a system that can be calibrated to the judgment of any school's policy or experienced leadership team, just without the manual effort and hours spent.
No commitment required. We'll walk through the product in full — in person or virtually — so you can see exactly what deployment would look like at your school before you make any decisions.
Three deployment spots remain for the current school year.
What the meeting covers
Three spots left. 48 hours to deploy on your system. Don't spend the last days of your school year proofreading thousands of comments.
